General overview

This general overview introduces the requirements and steps involved in loading specific datasets to ADMIN UI.

Prior to loading data into ADMIN UI, a drug programme and dataset need to be configured for the particular study as described in the ADMIN UI overview section (see sections: configuring a drug programme and configuring a dataset for details).

The overview describes:

  1. Source data file requirement

  2. Minimum data required to load study data - mandatory patient information

  3. Steps to map and load data

  4. Reviewing data load success in ADMIN UI

  5. Reviewing data quality in VA HUB

1. Source data file requirement

ADMIN UI supports CSV and SAS data file formats

2. Minimum data required to load study data

Mandatory patient information is required as a minimum to map and load data to be visualised in the visualisation component of REACT, VA HUB. The mandatory patient information consists of demography, patient visit schedule and dose information, these 3 mandatory files must be mapped and loaded in ADMIN UI first to then allow other data types to be loaded.

Create mappings to source data

This training material introduces the first step in accessing the mapping tables available for the data types which can be loaded into REACT and describes the data mappings summary table for a dataset. The summary table shows a list of all the specific data types which have been mapped and loaded for the specific dataset.

New data mappings

TRAINING VIDEO: Here you will learn how to access the specific mappings table for which you want to start mapping a source data file

Mapping a specific data type

Data to be loaded into ADMIN UI needs to be mapped to the specific mapping table for that data type. Each field in the mapping table needs to be mapped to the specific column in the specific source data file.

A specific mapping table contains mandatory and non-mandatory fields to map against the source data. Mandatory fields must be mapped to create the basic visualisation in VA HUB.

There are also rules known as ‘Aggregation Functions’ which may need to be set up and ‘Decoding’ files may be required if the source data file has been coded.

TRAINING VIDEO: In this training video you will learn more about a specific mapping table.

Aggregation Functions

These are rules that may be required to be set up in a specific data type mapping table

Decoding Files

If a source data file contains any coding values in any fields, then a decoding file is required to be mapped and loaded into ADMIN UI. This allows the data type file to be decoded so that the visualisations in REACT presented correctly and are meaningful.

TRAINING VIDEO: This training video gives information on when a decoding file may be required

Loading data

Once your mapping file has been created and saved successfully the data will need to be loaded. This is done by selecting review the dataset setup in the clinical study set up menu and following the instructions presented.

4. Reviewing data load success in ADMIN UI

The data load success can be accessed to determine if your data has loaded successfully through the data load report.

This can be accessed by clicking on the view data load report in the clinical study datasets section on the ADMIN UI homepage.

There are four data load statuses completed, completed with warnings, no changes or failed.

5. Reviewing data quality in VA HUB

When data has been loaded and data load checked in ADMIN UI it is useful to check the visualisation in VA HUB to ensure the data is represented correctly.

When studies and datasets have been created and loaded into ADMIN UI users need to be granted access permissions before they can access VA HUB to visualise the data, see section Granting Access for details.

Before a data loader can perform this step of the process access permissions to either the drug programme or the specific dataset they are loading will need to be granted to VA HUB.
